Privacy Policy

This policy explains how EC Account Services Inc. (“EC Account Services”, “we”, “us”) handles personal information collected through this website. EC Account Services is a business established in Hamilton, Ontario, Canada, and is subject to the Personal Information Protection and Electronic Documents Act (PIPEDA).

This policy applies to this website only. Personal information you provide in the course of a professional engagement is governed by the engagement terms agreed with you in writing, and by the professional confidentiality obligations that apply to that work.

Information you give us. When you complete the contact form, you provide your name and, optionally, your company, email address, telephone number, the service you are interested in and a description of what you need. You may also contact us directly by email, telephone or WhatsApp, in which case we receive whatever information you choose to include.

Information collected automatically. Our hosting provider records standard technical information when a page is requested, such as IP address, browser type and the pages viewed. This is used to operate and secure the site.

We do not ask for and do not want Social Insurance Numbers, banking credentials, tax documents or identification documents through this website. Please do not send them through the contact form or ordinary email.

We use the information you submit to respond to your enquiry, to determine whether EC Account Services can assist you, and to communicate with you about a possible or existing engagement.

We do not use website enquiries for automated decision-making, and we do not use them to build advertising profiles.

Submitting the contact form, or contacting us by email, telephone or WhatsApp, is how you consent to us using that information to reply to you. You can withdraw consent at any time by writing to info@ecaccountservices.ca, subject to any legal or professional record-keeping obligations that require us to retain certain records.

We do not sell personal information, and we do not trade or rent it.

We disclose personal information only to service providers who help us operate the business — for example our email and website hosting providers — and only to the extent needed to perform that service; where an engagement requires coordination with external accountants, lawyers or other professionals, and only with your knowledge; or where we are required to do so by law, regulation or a professional obligation.

Google Maps. The contact page embeds a Google map. When that page loads, Google may receive your IP address and may set cookies under its own privacy policy. Google acts independently of EC Account Services in respect of that data.

Google Fonts. Typefaces are served by Google, which receives your IP address in order to deliver the font files.

WhatsApp. Choosing to message us on WhatsApp takes you to a service operated by Meta. Anything you send there is handled under Meta’s terms and privacy policy, not ours. WhatsApp is a general messaging channel and is not an approved method for transmitting confidential financial or identification documents.

This website does not set advertising or tracking cookies of its own. Cookies may be set by the third-party services described above when you interact with them.

If website analytics are added in future, this section will be updated before they are enabled to identify the tool in use, what it records, how long that data is kept and how you can decline it.

Enquiries that do not lead to an engagement are kept only as long as needed to deal with the enquiry and any follow-up, and are then deleted.

Where an enquiry becomes an engagement, the information forms part of the client record and is retained for the period required by the applicable tax, accounting and professional record-keeping rules.

This website is served over an encrypted connection and access to enquiry messages is limited to the people at EC Account Services who need it to respond to you. No method of transmission over the internet is completely secure, which is why we ask you not to send highly confidential documents through general website forms or ordinary email. Where confidential documents are required for an engagement, we will provide an approved secure method.

Under PIPEDA you may ask us what personal information we hold about you, ask for a copy of it, ask us to correct it if it is inaccurate, and ask us to delete it where we are not required to keep it. Write to info@ecaccountservices.ca and we will respond within the timeframe the legislation requires. We may need to verify your identity before acting on a request.

If you are not satisfied with how we have handled a privacy question, you may contact the Office of the Privacy Commissioner of Canada.

EC Account Services is located in Canada and personal information submitted through this website is received and processed in Canada. If you contact us from the United States, Colombia or anywhere else, your information is transferred to Canada and is subject to Canadian law, including lawful access requests by Canadian authorities.

Some of the service providers described above operate outside Canada and may process technical information in other countries under their own policies.

For visitors in the United States: we do not sell or share personal information for cross-context behavioural advertising, and we do not use website enquiries for targeted advertising. If you would like your enquiry information deleted, write to info@ecaccountservices.ca and we will do so unless a professional or legal obligation requires us to keep it.

This website is directed at business owners and is not intended for children. We do not knowingly collect personal information from children.

We may update this policy as the website or our practices change. The date below shows when it was last revised, and any material change will be reflected here before it takes effect.
